Bulk Swag Orders and Warehousing, Without the Pallet

Every company that buys branded merchandise eventually meets the same trade-off. Order enough to get a sensible unit price and you have to put it somewhere. Order only what you need this month and you pay a premium on every piece.

Most organizations pick the price break, and most of them regret the storage within a year. Boxes migrate from a stock room to a corridor to a corner of the car park. Nobody knows how many are left. Somebody eventually throws away a quantity of perfectly good merchandise because the brand refreshed.

How the Price Break Works

Decoration carries a fixed setup cost, so unit price falls as quantity rises. The curve is steep at the start and flattens quickly. Moving from a very small run to a moderate one usually changes the unit price considerably. Moving from a large run to a much larger one often changes it very little.

That shape matters because it means the sweet spot is usually far lower than suppliers suggest. We will show you where the curve flattens for a given item rather than quoting the largest quantity that still sounds plausible, because ordering past the flattening point buys almost no saving and a great deal of inventory risk.

Sizing a Run You Won’t Regret

The honest way to size a bulk order is to work from consumption, not from headcount. How many did you actually give out last year, and to whom? Headcount tells you how many people exist. Consumption tells you how many pieces leave the shelf.

For apparel, size distribution is the second question and the one most often guessed. Ordering to a generic curve reliably leaves you short on the sizes people wear and long on the ones they don’t. Where you can share a rough breakdown of your actual team, we size to that instead.

Then there is brand risk. If a rebrand, a name change, or a merger is anywhere on the horizon, that is a reason to order less and reorder sooner. A twelve-month supply of the old logo is not a saving.

What Warehousing Involves

Your stock sits in our facility, counted and tracked as yours. You can see what is on hand, and we tell you when an item is running low rather than waiting for you to discover it mid-order.

Releases go out in whatever quantity you ask for, to whatever address you give us. That might be a hundred pieces to a conference venue, twelve to a regional office, or one to a new hire’s home. Kitting and Assembly

Bulk orders frequently need to leave as sets rather than single items. Conference bags, onboarding kits, event packs, regional shipments made up of several products in varying quantities.

We assemble those from your held stock. You specify the contents and the quantity, and the kits go out packed and ready to hand over. For recurring formats we keep the specification on file so the second run is a confirmation rather than a fresh brief.

This is usually where the labour saving shows up most clearly, because kit assembly is exactly the task that otherwise lands on whoever is available the night before an event.

When Bulk Is the Wrong Call

Bulk buying suits items with steady, predictable consumption: core apparel, everyday drinkware, standard notebooks. It suits things whose design is stable and whose demand you can forecast within reason.

It suits event-specific items poorly. Anything dated, anything tied to a campaign, anything carrying a theme you will not repeat is better ordered to the actual quantity even at a worse unit price. A cheaper piece you throw away is not cheaper.

It also suits new items poorly. If you have not run something before and do not know whether people will want it, a small first run tells you something worth more than the price break would have saved.
